Authorize contracts for electrical supplies, materials, and equipment for all City departments with Fairway Supply, Inc. d/b/a Fairway; Crawford Electric Supply Company, Inc. d/b/a Crawford Electric Supply; Dealers Electrical Supply; Elliott Electric Supply, Inc. d/b/a Elliott Electric Supply; Global Equipment Company, Inc. d/b/a Global Industrial or Global Industrial Equipment; Facility Solutions Group, Inc. d/b/a Facility Solutions Group, Inc. and other contractors each for initial terms of nine months with up to four one-year extension options, for total contract amounts not to exceed $6,764,800, divided equally among the contractors or the departments may choose any contractor that has the available product. Funding: $789,227 is available in various City departments’ Operating Budgets. Funding for the remaining contract term is contingent upon available funding in future budgets.

These contracts will provide electrical parts and supplies for the maintenance, repair, and improvement of electrical systems in and around buildings and properties owned by the City. The commodities purchased on these contracts will support repairs and installations performed by City technicians, and the contracts will also provide an avenue to purchase energy efficient lighting, lighting controls, and other energy efficient equipment to decrease energy usage in City buildings.
The contracts are necessary to provide reliable, safe, and energy efficient electrical systems, lighting, and emergency back-up systems for buildings and properties owned by the City. It is essential to have reliable suppliers of high-quality parts and supplies that are Underwriters Laboratories listed with a large and diverse inventory located in the Austin area in order to aid City departments in ensuring all electrical systems are operating efficiently and will function properly.
The current contract expires February 28, 2025. The requested authorization amount was determined using departmental estimates based on historical spend and future usage. The recommended contractors are current providers of these goods. The cooperative association has the ability to add contractors providing the product which will increase the pool the City can receive the product from to ensure flexibility if needed. Therefore, staff is also requesting the authority for departments to use these added contractors that also provide the same products.
The Texas Association of School Boards (also known as BuyBoard) is a cooperative purchasing association recognized under Texas procurement statutes. Cooperative associations, themselves or using a lead government, competitively solicit and award contracts that are eligible for use by other qualified state and local governments. Due to their substantial volumes, larger than any one government could achieve independently, cooperative contracts routinely include superior terms, conditions, and pricing. Use of cooperative contracts also results in lower administrative costs and time savings.
A delay in contract approval could impact the City’s ability to perform maintenance and repairs on equipment and systems in City buildings and properties.
