Additional Backup Information:

This contract amendment is for additional ADVA hardware and software maintenance. The City utilizes ADVA fiber optic equipment as the information technology (IT) transport infrastructure for the City’s data network. An unanticipated hardware purchase under the contract resulted in a shortfall for the fiscal year 2025 maintenance payment. Additional authority is required to ensure the advanced manufacturer support is in place for this critical IT infrastructure used by City staff to access all IT services including standard desktop office services such as email, virtual collaboration, and access to applications used to conduct City business.

The State of Texas Department of Information Resources cooperative is a cooperative purchasing association recognized under Texas procurement statutes. Cooperative associations, themselves or using a lead government, competitively solicit and award contracts that are eligible for use by other qualified state and local governments. Due to their substantial volumes, larger than any one government could achieve independently, cooperative contracts routinely include superior terms, conditions, and pricing. Use of cooperative contracts also results in lower administrative costs and time savings.

If the proposed amendment is not approved, the City risks potential service disruptions and the inability to properly maintain and replace hardware components as needed.
