Funding for the remaining contract term is contingent upon available funding in future budgets.

The Financial Services Department issued an Invitation for Bids solicitation IFB 8500 RBB1002 for these goods and services. The solicitation was issued on May 13, 2024, and closed on July 25, 2024. Of the two offers received, the recommended contractor submitted the lowest responsive offer. This solicitation was reviewed for subcontracting opportunities in accordance with City Code Chapter 2-9B (Minority-Owned and Women-Owned Business Enterprise Procurement Program). For the goods and services required for this solicitation, there were no subcontracting opportunities therefore, no subcontracting goals were established.

Additional Backup Information:
This contract will provide monitoring, maintenance, testing, and repair services for the security and fire alarm systems at all locations of the Austin Public Library. In addition to monitoring services, this contract includes repair, maintenance, replacement, testing, and installation of equipment.
This contract will replace a contract which expires October 15, 2024. The recommended contractor is the current provider of these goods and services. The requested authorization amounts were determined using departmental estimates based on historical spending and will allow for a small annual growth for equipment replacement.
If a contract is not secured, it will result in the department’s inability to monitor security and fire alarm systems at all Austin Public Library locations.
