Funding for the remaining contract term is contingent upon available funding in future budgets.

The Financial Services Department issued an Invitation for Bids solicitation IFB 7800 MLJ1029 for these goods and services. The solicitation was issued on February 10, 2025, and closed on March 6, 2025. Of the two offers received, the recommended contractors submitted the lowest responsive offers. This solicitation was reviewed for subcontracting opportunities in accordance with City Code Chapter 2-9B (Minority-Owned and Women-Owned Business Enterprise Procurement Program). For the goods and services required for this solicitation, there were no subcontracting opportunities; therefore, no subcontracting goals were established.

Additional Backup Information:

The contracts will provide parts and repair services for City-owned heavy duty truck cabs and chassis, including Mack, Peterbilt, and Isuzu manufactured trucks on an as needed basis. The parts will be used for repair and preventive maintenance services at Fleet Service Centers and the services will supplement the repairs performed by Fleet’s technicians.

 

These contracts will replace contracts which expire December 8, 2027. Fleet’s annual spend exceeded their annual authorization, therefore this replacement contract was resolicited early due to low remaining authority on the existing contract.

The requested authorization amounts were determined using departmental estimates based on historical spend.  The recommended contractors are the current providers for these goods and services.

 

If the City is unable to secure these contracts, the City will not have a reliable and continuous source for purchasing parts and repair services for heavy duty truck cabs and chassis. In addition, the City will be forced to procure these goods and services on an as needed basis which may result in higher prices, additional operational costs, and increased vehicle downtime.
