Fiscal Note

Funding in the amount of $75,000 is available in the Fiscal Year 2022-2023 Operating Budget of Fleet Mobility Services. Funding for the remaining contract term is contingent upon available funding in future budgets.

 

Purchasing Language:

The Financial Services Department issued an Invitation for Bids (IFB) 7800 BRS1055 for these goods. The solicitation issued on August 22, 2022 and closed on September 22, 2022. Of the three offers received, the recommended contractor submitted the lowest responsive offer. Additional Backup Information:

The contract will provide parts and associated components for fire apparatus pumps, equipment, and associated control systems for City-owned fire apparatus on an as needed basis. The parts will allow Fleet Mobility Services technicians the ability to repair or replace fire apparatus pumps which involve various meters, gauges, valves, motors, and computer circuit boards to control and monitor the flow of water or foam. The City currently has 76 pumping apparatus to maintain and repair.

 

The contract will replace a contract which expires on January 29, 2023. The recommended contractor is the current provider for these goods. The requested authorization amounts were determined by using departmental estimates based on historical spend and will allow for an annual growth for parts associated with aging fire apparatus as well as future acquisitions

 

If the City is unable to secure a contract, the City will not have a reliable and continuous source for parts and associated components for fire apparatus pumps and equipment and will be forced to procure these items on an as needed basis, which may result in higher pricing and additional operational costs.
