Fiscal Note:

Funding in the amount of $58,500 is available in the Fiscal Year 2022-2023 Operating Budget of Fleet Mobility Services. Funding in the amount of $9,000 is available in the Fiscal Year 2022-2023 Operating Budget of the Department of Aviation. Funding for the remaining contract term is contingent upon available funding in future budgets.

 

Purchasing Language:

The Financial Services Department issued an Invitation for Bids (IFB) 7800 BRS1056 for these goods and services. The solicitation issued on August 29, 2022, and it closed on September 20, 2022. Of the three offers received, the recommended contractor submitted the lowest responsive offer. Additional Backup Information:

The contract will provide remanufactured and new alternators, starters, and parts for the City’s fleet of light-duty, medium-duty, heavy-duty, and emergency service vehicles, as well as off road equipment on an as-needed basis. The contractor will restore the damaged alternators and starters to original manufacturer’s specifications and provide the City with ready to install rebuilt units. The rebuilt or remanufactured alternators and starters will allow Fleet Mobility Services technicians to replace damaged alternators and starters in City-owned vehicles and equipment. The City currently has 7,180 various sizes and type of vehicles and equipment to maintain and repair.

 

This contract will replace a contract which expires on January 28, 2023. The recommended contractor is the current provider of these goods and services. The requested authorization amounts were determined by using departmental estimates based on historical spend and will allow for an annual growth for aging alternators and starters, as well as future acquisitions. 

 

If the City is unable to secure a contract, the City will not have a reliable and continuous source for remanufactured and new alternators, starters, and parts and will be forced to procure these goods and services on an as-needed basis, which may result in higher pricing and additional operational costs.
