Fiscal Note

Funding in the amount of $621,000 is available in the Fiscal Year 2022-2023 Operating Budget of Fleet Mobility Services. Funding in the amount of $112,500 is available in the Fiscal Year 2022-2023 Operating Budget of the Department of Aviation. Funding for the remaining contract term is contingent upon available funding in future budgets.

The Financial Services Department issued an Invitation for Bids (IFB) 7800 BRS1057 for these goods and services. The solicitation issued on September 12, 2022 and closed on October 4, 2022. The recommended contractor submitted the only responsive offer. Additional Backup Information:

The contract will provide original equipment manufacturer (OEM) parts and repair services for City-owned Ford light-duty vehicles. The City currently has approximately 1,600 Ford light-duty vehicles in its fleet inventory. The contractor will provide repair services to supplement the work performed by the Fleet’s technicians to increase responsiveness to City departments. Parts will be purchased for maintenance and repairs handled in-house. 

 

The contract will replace a contract which expires February 5, 2023. The requested authorization amounts were determined using departmental estimates and historical spend and include an annual growth for parts and repair service requirements associated with aging vehicles and future vehicle acquisitions. The recommended contractor is a current provider for these goods and services.

 

If the City is unable to secure a contract, the City will not have a reliable and continuous source for purchasing OEM parts and repair services to maintain Ford light-duty vehicles. In addition, the City will be forced to procure these goods and services on an as-needed basis, which may result in higher prices and additional operational costs.
